Manually create orders in the Admin on behalf of your customers
Manual Order
Sometimes it is necessary to manually create an order on behalf of a customer - for example, for phone orders, at trade fairs, or if a customer has technical difficulties with the online shop.
When a manual order makes sense
- Phone Order - The customer orders by phone or email
- Trade Fair Order - Order is taken at an event
- Technical Problems - The customer cannot use the online checkout
- Special Conditions - Individually agreed prices or conditions
- Internal Order - Orders for own use
Step-by-Step Guide
Step 1: Select or Create Customer
Select the customer for the order:
Search for existing customer:
- Enter the name or email address into the search field
- Select the appropriate customer from the results
- The saved addresses will be automatically applied
Create new customer:
- Click on Create New Customer
- Enter the contact details (name, email, address)
- The customer will be simultaneously saved in the customer database
Step 2: Add Products
Add the desired products to the order:
- Use the Product Search to find items
- Select the desired Variant (color, size)
- Enter the Quantity
- Click on Add
- Repeat the process for additional items
Prices are automatically taken from the product catalog.
Step 3: Shipping and Payment
Select the shipping and payment options:
Shipping Method:
- Select from the configured shipping methods
- Shipping costs are calculated automatically
- For pickup: Select the appropriate pickup address
Payment Method:
- Select how the customer pays
- For bank transfer or cash payment, the payment is recorded manually
Step 4: Overview and Confirmation
Check all details:
- Customer data and addresses
- Ordered items with variants and quantities
- Shipping method and costs
- Payment method
- Total amount
Click on Create Order to complete the order. The customer will receive a confirmation email (if configured).
After Creation
The manually created order:
- Appears in the regular Order Overview
- Is treated the same as online orders
- Can be normally edited, shipped, and completed
- Generates an invoice if needed
Frequently Asked Questions
Can I change the price for individual items? For manual orders, catalog prices are used. For special prices, use coupon codes or adjust the prices in the product.
Does the customer automatically receive an email? Yes, if email notifications are configured in your shop, the customer receives the same confirmations as for an online order.
Can I modify a manual order later? Yes, open the order in the detail view and make the desired changes.
